Terms of service
The deal between you and us, in plain English. Last updated 2 September 2026.
1. Who's who
"We" and "us" means You Can Fly Media, Washington, Tyne & Wear [COMPANY LEGAL NAME / REGISTRATION NUMBER], the provider of Your Ops Agent (the "service"). "You" means the business using the service. These terms apply from the moment you start a trial.
2. What the service is
An assistant, accessed through Telegram, that helps you run your business: drafting quotes, invoices, reminders, posts and emails; tracking jobs; summarising what's owed and what's coming up; and optional extras as described on our site. The set of features available to you is whatever is switched on for your account.
3. You approve everything that goes out
The assistant drafts; you decide. Anything sent to a customer, supplier or the public (a quote, an invoice, an email, a social post) is shown to you first and only goes when you approve it. You are responsible for what you approve, including checking prices, figures and wording before you send. The assistant is not a substitute for your judgement.
4. What it isn't
The service produces documents and does arithmetic. It does not give legal, accounting, tax or financial advice, and nothing it produces should be treated as such. Keep your accountant. Where the assistant flags something (a clause, a number, a deadline) it's to help you notice, not to advise you.
5. Free trial and payment
New customers get a 14-day free trial with no payment details required. At the end of the trial you can subscribe, or stop and take your information with you. Subscriptions are monthly in advance by Direct Debit or card through Stripe, or annually with two months free. Prices are as shown on our site or as agreed with you in writing, and include any extras you've asked us to switch on. We may change prices with 30 days' notice; existing annual plans keep their price until renewal.
6. If a payment fails
We'll let you know straight away and try again. If it's still unpaid three days after it was due, the assistant is paused until payment is made; your information is kept and everything resumes as soon as we're paid. If an account stays unpaid for 30 days we may close it under section 9.
7. Extras
Extras can be added at any time and are billed from that month. Remove one and it stops at the end of the current billing month. Where an extra depends on a third-party account of yours (for example your Facebook page or a CRM), you're responsible for giving us the access it needs and for that account's own terms.
8. Your information and ours
Everything you put into the service about your business and your customers stays yours. We use it only to provide the service to you, as set out in our privacy policy, which forms part of these terms and includes our commitments as your data processor. The service itself (the software, the way it works, the documents it generates as templates) is ours, and you get a licence to use it while you're a customer. We may use general, anonymised usage patterns to improve the service; we will never use your business's information to promote the service without your written agreement.
9. Ending things
Monthly plans: cancel any time and the service runs until the end of the month you've paid for. Annual plans: run to the end of the year, then either renew or stop. We can end the agreement with 30 days' notice, or immediately if you use the service to break the law, to send spam, or in a way that harms other customers or the service. When your account closes, you can have an export of your information on request within 90 days, after which we delete it.
10. Availability and support
We aim to keep the service running around the clock and to tell you promptly if something's wrong. We don't promise it will never be unavailable; if a fault on our side stops you using it for more than a full day in a month, we'll credit that time. Support is by phone, WhatsApp and email during normal working hours; we try to reply the same day.
11. Limits on our liability
We'll do our job properly, and we're liable to you for what the law says we can't exclude. Beyond that, our total liability to you in any 12-month period is limited to the amount you've paid us in that period, and we aren't liable for loss of profit, loss of business, or indirect losses. Nothing here limits liability for death, personal injury, fraud, or anything else that can't be limited by law.
12. Acceptable use
Use the service for your own legitimate business. Don't use it to send unsolicited marketing, to harass anyone, or to store or process anything unlawful. Don't try to get into the service's internals or other customers' information. Keep your Telegram account and your bot secure; you're responsible for what's done through them.
13. Changes to these terms
We may update these terms. If a change matters to you we'll give at least 30 days' notice through the assistant or by email, and you can end the agreement before it takes effect if you don't accept it.
14. The boring but necessary bit
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If any part turns out to be unenforceable the rest still applies. This is the whole agreement between us about the service unless we've agreed something else with you in writing.
